Snake River Academy is a family-led homeschool co-op in Twin Falls, Idaho. This policy explains what information we collect through this website and our Parent Portal, why we collect it, and how we protect it. We collect only what we need to run the co-op.
This policy applies to visitors of snakeriveracademy.org, families who submit a waitlist application, and parents and guardians who use the Parent Portal. Accounts are created and managed by parents and guardians — students do not create accounts or interact with this site directly.
From parents and guardians: name, email address, phone number, mailing address, a profile photo, and — if you choose to add one — the name, email, and phone of a secondary parent or guardian.
About students: first and last name, age, date of birth, and a photo. This information is provided by a parent or guardian, never collected from a child.
Participation records: waitlist applications and the answers you provide on them, class proposals you submit, class requests and enrollments, invoices and payment status, and end-of-semester feedback you choose to give.
Automatically: basic usage analytics (pages visited, approximate location, device and browser type) to understand how the site is used, and standard server logs. We do not use advertising trackers and we do not sell data.
Contact details let us reach your family about classes, schedules, and dues. Student names and ages determine which age-group classes a child is eligible for. Photos let our directors and teachers match parents to students on class days — a safety measure for pickup and supervision. Financial records let us issue and track semester invoices.
Photos uploaded to the Parent Portal are for internal use only. Parent and student photos are visible solely to Academy administrators, and serve one purpose: identifying students and matching them to their families at the co-op — a safety measure for drop-off, pickup, and supervision.
These photos are never published on the public website, never shown to other families through the portal, and never used in marketing, newsletters, or social media.
Photography during class hours is handled separately. Any photographs or video taken during class time or at Academy events are covered by a separate consent form signed by a parent or guardian. Uploading a photo to the Parent Portal does not grant permission for any other use.
You may replace or remove a student's photo at any time in the Parent Portal under Settings, or ask an administrator to remove it for you.
Academy administrators can see family and student records in order to run registration, build class rosters, and manage billing.
Teachers — who are parent volunteers — can see the roster for the classes they teach, and may submit private feedback about their class to administrators.
Other families cannot see your contact information, your students' records, your invoices, or your feedback. Class availability is shown only as seat counts, never as a list of who is enrolled.
We do not sell, rent, or trade personal information. We share it outside the Academy only where required by law, or to the service providers described below who operate the site on our behalf.
We use a small number of established providers to operate this site. Each processes data only to provide its service to us:
Information is stored on servers located in the United States.
Data is transmitted over encrypted connections and stored with database-level access rules that restrict each family to their own records. Passwords are hashed and never visible to administrators. Portal sessions sign out automatically after 60 minutes of inactivity. Access to administrator tools is limited to a small number of approved Academy leaders.
No system can be guaranteed perfectly secure, but we take reasonable, current measures to safeguard your family's information.
We keep family and student records, class history, and invoices for as long as your family participates in the Academy and for a reasonable period afterward for our records. You may ask us to delete your family's account and information at any time; we will do so except where we are required to retain limited financial records.
You can view and update your family's information at any time in the Parent Portal under Settings. You may also contact us to request a copy of your family's information, ask for a correction, or ask us to delete your account. Because parents and guardians provide all information about students, requests concerning a student's information should come from that student's parent or guardian.
This site is intended for use by parents and guardians. We do not knowingly allow children to create accounts or submit information directly. All information about a student is provided by their parent or guardian, who may review, change, or delete it at any time.
If we make meaningful changes, we will update the date at the top of this page and, where appropriate, let families know through the Parent Portal.
